The Trust established the Geological Records Centre (GRC) in 1996 as a repository for information collected and collated by employees and volunteers. The GRC has grown continuously over the years and now contains an extensive archive of information that includes the following:

  • Maps - A large selection of maps, including OS Landranger 1: 50,000 and Pathfinder 1:25,000 series & British Geological Survey geology maps of both counties.
  • Literature - An extensive collection of literature that covers general aspects of geology, geomorphology and Geodiversity, as well as a bibliography of books, journals, magazines, reports, extracts, and newsletters with reference to specific locations or aspect of the geology and landscape in the two counties.
  • Site Records - An extensive digital database that includes data on RIGS and SSSI’s in the two counties. Data includes survey notes & diagrams, Geological Records, site photographs, and detailed maps.
  • Trail Guides - A collection of Explore and Discovery guides published by the Trust. There are currently 28 titles available. For more information aboout our trail guides, see our Publications section.
  • Rocks & Fossils - A large collection of rock and fossil samples and specimens collected from throughout the two counties and elsewhere.
  • Information - Consultants are usually available for enquiries regarding the Earth Heritage Trust, The Abberley & Malvern Hills Geopark and The Geology Trusts. They can also help with information about other linked geoconservation organisations.

Visiting the Geological Records Centre
Access to the GRC for visitors is by appointment only between 9 am and 5 pm, Monday to Friday. The GRC is closed on public holidays and for 2 weeks over the Christmas and New Year period when the University campus is also closed. Appointments must be made by contacting the Trust at eht@worc.ac.uk or by telephone on 01905 855184.

Data Access & Use Policy
As a repository for information on the geology and landscape of the two counties, the Trust is committed to making the information held in the GRC freely available to interested parties. Access to the GRC data is controlled by the Trust’s Data Access Policy (DAP). The purpose of the policy is to ensure that our data providers and users know and understand the terms and conditions that govern the collection and dissemination of GRC data. A detailed DAP is now available and includes the following:

  • Data Access and Use Policy - The main document outlining the type of data available, how it can be used and where it was sourced from by the Trust.
  • Terms and Conditions - This document ensures that our data providers and users know and understand the Terms and Conditions affecting the dissemination of GRC data.
  • Privacy Policy - Information about what personal information we collect and how we use it as governed by the Data Protection Act (1998).
  • Schedule of Charges - This document sets out our system for charging fees for providing the information.
  • Information Request Form - This form is to be completed when requesting information from the Trust's GRC archives.

Data Management
All data about the geology and landscape of Herefordshire and Worcestershire is collected or collated by consultants and volunteers working for the Trust. Site reports are recorded on the Geology Locality Record Form, on either the short or long version. It is left to the discretion of the fieldworker as to which version of the form is used for a site report. Copies of both form versions are available from the Trust.

All GLRs are forwarded onto the Data Manager, who will check each one for quality and completeness of information. Any incomplete or wrongly completed forms will be returned to fieldworker to be amended and resubmitted. When GLR forms have been checked, the information is added to the sites database and each form is filed.

The sites database and other digital resources are backed up on a weekly basis.
